Cancellation policy
We keep your booked time just for you. If you can't make it, please let us know in good time so someone else can use the slot.
Cancellations
You can cancel without a fee up to 24Â hours before your appointment starts.
If you cancel later than 24Â hours before the start, we charge 50% of the service price.
No-shows
If you don't come and haven't cancelled, we charge 100% of the service price.
Rescheduling
You can reschedule without a fee up to 24Â hours before the start, subject to availability.
Late arrival
If you arrive late, your appointment may be shortened so that other clients are not kept waiting. The price stays the same.

Let the policy enforce itself
In Resovu you set the same deadlines and fees, and the system calculates them when a client cancels. Cancellation fees come with the Professional plan (€24 a month), deposits with the Business plan (€39 a month). You get the Professional plan free for the first 14 days after sign-up.
Before you use the text
- For accommodation and leisure services booked for a specific date, Directive 2011/83/EU (Art. 16(l)) excludes the 14-day right of withdrawal from distance contracts. For other services booked online, this right may apply. Check what applies to you.
- Fees should reflect the actual loss a cancellation causes you. Disproportionately high penalties can be challenged by consumers.
- Show the policy to the client before they complete the booking (for example with a checkbox) and include it in the confirmation. A fee the client didn't know about in advance is hard to enforce.
How to set a fair cancellation policy
Set the deadline by how quickly you can refill the slot
Hair and beauty businesses often use 24 hours; longer treatments, tattoos or therapy 48 hours; and classes are usually fine with 12 hours. For accommodation, deadlines are counted in days, most often 7 to 30 days before arrival. The longer it takes to refill a freed slot, the longer the deadline should be.
Make the fee gradual
A client who cancels a day ahead still gives you a chance to refill the slot. A client who doesn't show up at all doesn't. That's why the late cancellation fee is usually lower (for example 50%) and the no-show fee higher (up to 100%). A second step just before the start helps if you often get last-minute cancellations.
A deposit works better than a fee you have to chase
A no-show fee has to be requested from the client, and not everyone pays. A deposit paid at booking is already with you. Often 20–30% of the price is enough to give the client a reason to come or cancel in time. State clearly when the deposit is refunded and when it is kept.
Show the policy before the client books
Your cancellation policy belongs on the booking page, in the confirmation and in the reminder. A client who saw it in advance is more likely to accept a fee. A reminder the day before also gives them a chance to cancel in time – and you a chance to fill the freed slot.
Frequently asked questions
Is the generated text legally binding?
It is a template. It applies to a client only once you have demonstrably shown it to them before booking. Resovu is not responsible for the legal accuracy of the text; rules differ by country and type of service, so check it before use, ideally with a lawyer.
How much should I charge for a no-show?
Businesses often choose 50–100% of the service price. The fee should reflect what you lose – the price of a slot you can no longer offer to another client. Many businesses take a deposit instead and keep it if the client doesn't show up.
Does the 14-day right of withdrawal apply to online bookings?
For distance contracts, consumers in the EU generally have the right to withdraw within 14 days. Directive 2011/83/EU, however, excludes it for accommodation and leisure services booked for a specific date, among others. For other services it depends on the situation, so check what applies to you.
Can I edit the text?
Yes. Copy it and adjust it as you like. Nothing is saved, so store it somewhere before you close the page.
How can I make the policy enforce itself?
With a booking system. In Resovu you set the cancellation deadline, tiered cancellation fees and deposits, and clients see the policy when they book. If they cancel late, the system calculates the fee according to your rules.
